Ausland / projekt archive e.V. operates this website. We do everything we can to collect, process and store as little data as possible from those who visit this website because privacy is important to us and not just to meet the requirements of the GDPR.
Nevertheless, data is collected and stored. What these are and how we process and store them will be explained below.
Data protection according to the GDPR refers to the processing of personal data. Such data is any data that can personally identify you. This includes, for example, the IP address that is assigned to the device with which you accessed our website. This IP address is stored on our server, for example, and this is then processing (Art. 4 No. 2 GDPR) of personal data (Art. 4 No. 1 GDPR) within the meaning of the GDPR.
In addition to the European General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG) and the Telecommunications Telemedia Data Protection Act (TTDSG) are laws in Germany that regulate the handling of personal data.
We as Verein Ausland / projekt archiv e.V. are the legal entity responsible for processing your personal data. You can find our contact details in our legal notice.
There are basically two types of data that are processed via our website. Those that are processed automatically, such as the IP address mentioned above and those that you provide to us “manually”, e.g. by writing to us using our contact form.
You can request information about the type and extent of the data we store about you at any time free of charge, you can request the deletion, correction and blocking of your data and you can complain to the data protection supervisory authority (right to information according to Art. 15 GDPR, right to correction according to Art 16 GDPR, right to deletion according to Art. 17 GDPR, right to restriction of processing according to Art. 18 GDPR, right to data portability according to Art. 20 GDPR, right to object according to Art Art. 22 GDPR, right of appeal according to Art. 77 GDPR. In principle, we only use your data to be able to show you this website and to communicate with you at your request (especially via our contact form and then by email). Apart from a few exceptions, we will not pass on your data. The exceptions all have to do with the content and links displayed on our site and are explained below.
The legal basis for any transfer of data is usually an order processing contract in accordance with Article 28 of the GDPR. Your data will be deleted as soon as it is no longer needed (see also Art. 17 GDPR).

Our website is hosted by Strato. Personal data is stored on Strato’s servers. Automatically collected data is stored in log files, but much of the data provided voluntarily is also cached on Strato's servers. We host externally because we do not have the capacity to operate our own servers and are dependent on the services of a host in order to be able to deliver our website quickly and reliably (Art. 6 Para. 1 lit. a, b and f GDPR, as well § 25 Para. 1 TTDSG).

The data is stored pseudonymously and data that could enable personal identification is deleted after 14 days at the latest.

If you write to us using our contact form, the data entered there will be temporarily stored on our web server and sent to us by email. The data entered will not be transmitted to third parties and will be deleted after 3 months at the latest, unless your contact results in ongoing communication with us. The data is then usually only deleted after this ongoing communication has ended (legal basis: Art. 6 Para. 1 lit. f GDPR - legitimate interest).
The same applies if you contact us by email. We then process your email address and the data contained in the email. The data is stored on the mail server and partly on the end devices of the members of Ausland / projekt archiv e.V. (Legal basis: Art. 6 Para. 1 lit. f GDPR or Art. 6 Para. 1 lit. b GDPR).
If you call us, data about the call will be stored pseudonymously by the telecommunications provider. We might also store data that we obtain during the phone call with you in order to be able to answer your inquiries (legal basis: Art. 6 Para. 1 lit. f GDPR or Art. 6 Para. 1 lit. b GDPR).
All this data will be deleted as soon as reasonably possible and permitted.
Our website allows you to subscribe to our newsletter. We use software called Mailman, which is stored on our servers. We do not pass data related to our newsletters on to third parties.
Our website contains videos that are hosted on YouTube. In order for them to be started directly from our website, you must have given your explicit consent. With consent, the videos can be displayed directly on our website. Data is then transferred to YouTube and cookies from YouTube are also placed on your device. The legal basis for our use of social media is Article 6 Paragraph 1 Letter b, Article 6 Paragraph 1 Letter f, Article 26 Paragraph 1 GDPR.
We use Google Workspace as an email provider and for storing and managing content (e.g. storing, managing and sharing documents, media and information).
Personal data can be processed both in emails and in other documents in Google Workspace and stored on Google's servers, especially as part of communication processes with us. This data primarily includes the data that you have provided to us “manually” in various ways. Additionally, Google Workspace processes usage data and metadata for security purposes and service optimization.
In some cases, we enable people who are not part of Ausland / projekt archiv e.V. to directly access selected information in Google Workspace. This can be done, for example, in the form of forms, shared files and folders or similar.
