Introduction

Ausland / projekt archive e.V. operates this website. We do everything we can to collect, process and store as little data as possible from those who visit this website because privacy is important to us and not just to meet the requirements of the GDPR.

Nevertheless, data is collected and stored. What these are and how we process and store them will be explained below.

Data protection according to the GDPR refers to the processing of personal data. Such data is any data that can personally identify you. This includes, for example, the IP address that is assigned to the device with which you accessed our website. This IP address is stored on our server, for example, and this is then processing (Art. 4 No. 2 GDPR) of personal data (Art. 4 No. 1 GDPR) within the meaning of the GDPR.

In addition to the European General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG) and the Telecommunications Telemedia Data Protection Act (TTDSG) are laws in Germany that regulate the handling of personal data.

We as Verein Ausland / projekt archiv e.V. are the legal entity responsible for processing your personal data. You can find our contact details in our legal notice.

Data processing and your rights

There are basically two types of data that are processed via our website. Those that are processed automatically, such as the IP address mentioned above and those that you provide to us “manually”, e.g. by writing to us using our contact form.

You can request information about the type and extent of the data we store about you at any time free of charge, you can request the deletion, correction and blocking of your data and you can complain to the data protection supervisory authority (right to information according to Art. 15 GDPR, right to correction according to Art 16 GDPR, right to deletion according to Art. 17 GDPR, right to restriction of processing according to Art. 18 GDPR, right to data portability according to Art. 20 GDPR, right to object according to Art Art. 22 GDPR, right of appeal according to Art. 77 GDPR. These rights can also be found similarly in BDSG §§ 32 ff.).

Use of the data

In principle, we only use your data to be able to show you this website and to communicate with you at your request (especially via our contact form and then by email). Apart from a few exceptions, we will not pass on your data. The exceptions all have to do with the content and links displayed on our site and are explained below.

The legal basis for any transfer of data is usually an order processing contract in accordance with Article 28 of the GDPR. Your data will be deleted as soon as it is no longer needed (see also Art. 17 GDPR).

According to GDPR Art. 6 Para. 1 Sentence 1, the legal basis for the processing of personal data is primarily:

  1. Consent to the processing of personal data by you
  2. Performance of a contract to which you are a party
  3. Carrying out pre-contractual measures at your request
  4. Fulfillment of a legal obligation on our part
  5. Protecting the vital interests of yourself and others
  6. Performance of tasks is in the public interest
  7. Exercising public authority that has been transferred to us
  8. Safeguarding our legitimate interests unless your fundamental rights and freedoms outweigh the protection of your personal data

Data processing in detail

Hosting

Our website is hosted by Strato. Personal data is stored on Strato’s servers. Automatically collected data is stored in log files, but much of the data provided voluntarily is also cached on Strato's servers. We host externally because we do not have the capacity to operate our own servers and are dependent on the services of a host in order to be able to deliver our website quickly and reliably (Art. 6 Para. 1 lit. a, b and f GDPR, as well § 25 Para. 1 TTDSG).

Strato is one of our contract processors (see above) with which a contract processing contract has been concluded. It is part of this contract that Strato only processes data that is necessary to fulfill its service obligation. You can find out more about Strato and data protection at Strato here:

Access to the website

When you access the website, your data is encrypted using SSL or TLS to prevent unauthorized persons from intercepting it. Your data will then be decrypted on our server and the following will be stored in our server’s log files:

  • Browser type and browser version
  • operating system used
  • Referrer URL
  • Host name of the accessing computer
  • Time of server request
  • IP Address

This data is necessary to ensure the security and stability of the website, to enable the connection between your device and our website and to display the website correctly. Data processing is carried out on the basis of Article 6 Paragraph 1 Letter f GDPR (legitimate interest). The data is stored pseudonymously and data that could enable personal identification is deleted after 14 days at the latest.

In the event of a security incident, data can be stored for a longer period of time until the causes are resolved. After the causes have been eliminated, they will also be deleted. Except for the purpose of clarifying security incidents, we do not combine this data with other data

Cookies

Cookies are small text files that are stored in your device's browser and contain information related to the display and functionality of our website. We use two types of cookies:

  1. Technically necessary cookies, without which the website cannot be displayed correctly.
  2. Cookies that store your consent to the display of external media (especially videos).

You can prevent your browser from accepting cookies, but if the technically necessary cookies cannot be set, then our website will not function correctly.

You can delete cookies at any time. You can find out how to do this by entering the name of your browser and “delete cookies” into the search engine of your choice.

Depending on the individual case, the legal basis for storing technically necessary cookies is Article 6 Paragraph 1 Letters b, c and/or f GDPR.

The legal basis for cookies that store your consent to the display of external media is your consent to the display of external media in accordance with Art. 6 Para. 1 lit. a GDPR. You can revoke this consent at any time here on this page using the “Cookie Settings” button.

Data processing with “manual” data entry

If you write to us using our contact form, the data entered there will be temporarily stored on our web server and sent to us by email. The data entered will not be transmitted to third parties and will be deleted after 3 months at the latest, unless your contact results in ongoing communication with us. The data is then usually only deleted after this ongoing communication has ended (legal basis: Art. 6 Para. 1 lit. f GDPR - legitimate interest).

The same applies if you contact us by email. We then process your email address and the data contained in the email. The data is stored on the mail server and partly on the end devices of the members of Ausland / projekt archiv e.V. (Legal basis: Art. 6 Para. 1 lit. f GDPR or Art. 6 Para. 1 lit. b GDPR).

If you call us, data about the call will be stored pseudonymously by the telecommunications provider. We might also store data that we obtain during the phone call with you in order to be able to answer your inquiries (legal basis: Art. 6 Para. 1 lit. f GDPR or Art. 6 Para. 1 lit. b GDPR).

All this data will be deleted as soon as reasonably possible and permitted.

Newsletter

Our website allows you to subscribe to our newsletter. We use software called Mailman, which is stored on our servers. We do not pass data related to our newsletters on to third parties.

Youtube

Our website contains videos that are hosted on YouTube. In order for them to be started directly from our website, you must have given your explicit consent. With consent, the videos can be displayed directly on our website. Data is then transferred to YouTube and cookies from YouTube are also placed on your device. OpenStreetMap

We include maps from OpenStreetMap on this website. The provider of this map material is the OpenStreetMap Foundation, St John’s Innovation Centre, Cowley Road, Cambridge, CB4 0WS, Great Britain.

When you use these maps, data is transferred to OpenStreetMap and OpenStreetMap is also set by YouTube on your device. Social Media

In addition to our website, we use social media to provide information about ourselves and our events. We mainly use Facebook and Instagram. If you find out about us or contact us via these social media platforms, a lot of information about you will be stored by the provider of these platforms.

The legal basis for our use of social media is Article 6 Paragraph 1 Letter b, Article 6 Paragraph 1 Letter f, Article 26 Paragraph 1 GDPR.

Google Workspace

We use Google Workspace as an email provider and for storing and managing content (e.g. storing, managing and sharing documents, media and information).

Personal data can be processed both in emails and in other documents in Google Workspace and stored on Google's servers, especially as part of communication processes with us. This data primarily includes the data that you have provided to us “manually” in various ways. Additionally, Google Workspace processes usage data and metadata for security purposes and service optimization.

In some cases, we enable people who are not part of Ausland / projekt archiv e.V. to directly access selected information in Google Workspace. This can be done, for example, in the form of forms, shared files and folders or similar. In this case, Google, as the operator of Google Workspace, can set cookies on your devices, which are used, for example, for web analysis or to save your settings.(Legal basis: Art. 6 para. 1 sentence 1 lit. f GDPR - legitimate interests)
